Shipment Confirmation and Order Tracking |
Domestic Shipping
- Megatop ships to addresses within the U.S., U.S. Territories, and APO/FPO/DPO addresses. Orders may be processed for a shipment only to a valid physical address. We do not ship to P.O. Boxes. Collect on Delivery (COD) shipments are not available at this time. The available shipping options are shown after you add a product to your shopping cart and enter your “Ship To” zip code. Please read our shipping policy and Terms & Conditions before selecting one of the two options available on our website:
Standard Shipping
- When you proceed with Standard Shipping, your order will be shipped via regular UPS or FedEx Ground shipping. Ground shipping can take 1 to 7 business days, depending on the distance the package is traveling.
Expedited Shipping
- Expedited shipping is NOT available for third-party items. To qualify for expedited shipping, Megatop must receive your order Monday- Friday before 12 pm (EST). We do not offer Saturday delivery. All expedited orders must weigh less than 50 lbs and not contain any hazardous materials. Expedited orders only ship on business days; any orders placed on Saturdays/Sundays/Holidays will be processed on the next business day.
- Expedited shipping is only available within the contiguous United States. For time-critical shipments, expedited orders, a specific date, or Saturday delivery, please contact us before placing your order to ensure we can meet your deadlines. For most products, we offer Standard Shipping only. Neither “Ground” nor “Expedited 3-Day Delivery” include Saturday delivery options.
- The number of days shown in each shipping option in your Shopping Cart is “In Transit Time” only. It does not include the time we require for order verification and processing, the time manufacturers require to build/assemble products, Quality Control (QC), applicable lead times, or other delays that may impact your order.
Pick-Up and Storage
- We may offer to pick up the merchandise from Megatop’s or the manufacturer's location on a case-by-case basis. The pick-up needs to be requested before purchasing, as additional arrangements, handling, and storage fees may apply. Once we finish preparing your order, we will send you a note with pickup instructions.
- Megatop offers fourteen (14) days of free storage from the estimated pick-up date. After that, a storage fee of $50 per week for parcel shipments or $100 per week for LTL shipments will be applied to all orders that have not been picked up after the first fourteen (14) days.
- Any applicable storage fees must be paid in full before materials are released. All orders not picked up after thirty (30) days of the estimated pickup date are considered abandoned and will be canceled. Besides, any storage, restocking fees, and applicable expenses will be deducted from your order amount. The weekly storage fee is based on the daily average volume of space your inventory occupies in our or the manufacturer's pickup point and associated labor expenses. Megatop reserves the right to calculate the storage and all applicable fees on abandoned orders. If there is any conflict between Megatop calculations and information provided by the customer, Megatop's calculations will govern.
Shipping Rates & Charges
- After entering your zip code on the Megatop Checkout page, we'll show you your shipping options and charges. Shipping costs vary depending on various factors, from package weight and dimensions to shipment type, distance, additional handling, address type, and more. Please contact us if you require a special shipping option, and our representative will assist you.
- Sometimes, the automatic system might miscalculate shipping charges due to internal issues. If the actual shipping cost is significantly lower than it was calculated, the difference will be refunded to you. However, if the shipping cost is considerably higher than our system calculated, our representative may contact you and request to cover the difference fully or partially.
Shipping Hazardous Materials
- Some items have limited shipping options, which will be reflected at checkout. You’ll also see the shipping restrictions on the product detail page. We cannot ship hazardous items outside the United States. The customer must pay any charges incurred for hazardous materials or other special handling by the carrier must be paid by the customer.
Free Shipping
- From time to time, free shipping is offered on the Megatop website. We reserve the right to restrict or include free shipping to specific products, categories, dates, or other criteria. Free shipping on this website is not a permanent offer and can be removed anytime.
- Products marked “Free Shipping” qualify for free Standard Shipping within the continental U.S. (excludes AK, HI, PO Boxes, and APO/FPO addresses) going to a single location.
- Megatop offers standard ground-free shipping for delivery only. Extra shipping charges may still apply.
- Some products may qualify for free shipping when ordered in large quantities or with other items of the same brand. Simply submit your request through our contact us form, and make sure to include all part numbers and quantities you require together with your shipping address. We will reply with our offer ASAP.
Additional Shipping Surcharge
- Some products may require an additional shipping surcharge due to special delivery needs that result from factors such as product weight and size, delivery to residential, limited access, remote areas, lift-gate, inside delivery, special packaging, address correction, etc. We make these surcharges as transparent as possible by marking all items that require special delivery on Megatop product pages, in your Shopping Cart, and anywhere else they may apply.
Shipment Processing Time
- All in-stock orders for which payment has been approved are shipped within 1 to 3 business days, Monday - Friday. Please allow additional days in transit for delivery. Orders are not shipped or delivered on weekends or holidays. Items on backorder are shipped out as soon as they become available.
- If your shipment is time-sensitive, we recommend that you contact us before placing your order to make sure we’re able to meet your deadline. We will make all reasonable efforts to initiate shipment as close as possible to your requested delivery date. Megatop will notify you if we cannot deliver orders within the expected time frames.
- Please keep in mind that our delivery dates are estimates only, and shipments may be affected by factors outside our control; we cannot be responsible for delays or shipping errors caused by the shipment carriers.
- We will inform you by email that the merchandise is out of stock and give you an estimated date of shipment. If the merchandise is delayed again, we will provide you with a new date or cancel the order and refund you.
- We do not guarantee that any order will be shipped or picked up on the same day because some products may require additional handling before shipping. Examples: assembly, calibration, testing, quality control, certification, etc.; products might be drop-shipped from the manufacturer; run out of stock; delays due to severe weather conditions or other unforeseen events, etc.
- We sometimes need to wait for shipments from manufacturers who may encounter component issues in the manufacturing process. While we do our best to get your products out to you quickly, these manufacturer delays are unfortunately out of our control.
- We reserve the right to cancel orders with an extended lead time. Megatop emails to offer our recommendations on alternative or similar products when available. If the order contains more than one product, we will cancel the products with an extended lead time and ship the rest. We will charge your credit card less the cost of the canceled product or void the transaction if the entire lead time is unacceptable.
Shipment Confirmation and Order Tracking
- Your order status update with the shipping tracking number is sent to your email address as soon as the item on your order is shipped. You may track your order anytime by logging into "My Account" Order Status / History or via UPS.com or FedEx.com Package Tracking.
- Estimated delivery dates will be provided once your emailed tracking number has been activated by the carrier.
- UPS and FedEx do not count the pick-up day as a ship day.
- To ensure secure delivery and certify delivery acceptance, signature confirmation may be required at the time of delivery.
Missing Package
- On rare occasions, packages can be misrouted or mishandled while in transit. Depending on your location, your package may not arrive until later in the day on the scheduled day for delivery.
- If you have confirmed that both tracking says the package was delivered, and there is indeed no package around your shipping address, the next step would be to reach out to UPS directly.
- If tracking information reflects that a delivery has been completed, but you cannot locate it, please follow the steps below:
- Verify that the shipping address on your order confirmation is correct. If it is not, please contact us.
- If the delivery were completed, the package's tracking status or a delivery notice would indicate the location where the driver left the package. If your package does not require a signature, it may have been left in your nearby area, such as the: front porch, back porch, garage entrance, or side door. Packages that require a signature upon delivery will have additional information on the delivery notice.
- If your tracking information shows that the delivery was completed and signed, the package may have been signed for by a neighbor. Check with other residents at your location to see if they have picked up the package.
- If you still need help locating the shipment, please contact us.
- Something to keep in mind is that sometimes, drivers will use plastic bags to protect your package/parcel from the rain. So be on the lookout for anything wrapped up in a plastic bag around your address.
- If the package was not delivered, it is the customer's responsibility to contact Megatop in order to open an investigation case with a carrier. Carriers have a sixty (60) days liability period when the shipper may open an investigation. If the customer does not contact Megatop to inform about the undelivered order within sixty (60) days after the order was shipped, Megatop reserve the right not to accept the customer's claim, as a carrier will not be able to start a claim or provide any information about the delivery process.
Special Delivery Options
- Special Delivery is required for oversized or overweight items. Unless you specify additional needs, these items will be shipped by truck and considered Outside Delivery service. All forms of Special Delivery require a loading dock or a Liftgate. If you do not have a loading dock at your facility, then Liftgate service is mandatory and will ensure that a truck with a liftgate capable of safely lowering your purchase to the ground is used for your delivery. Be sure to recertify the delivery acceptance loading dock. Inside Building delivery may be added to your Special Delivery, wherein the driver will deliver the product inside your destination (home or office). Liftgate and Inside Delivery require separate charges in addition to the Special Delivery charge. The trucking company will contact you in advance, and delivery typically takes 7-10 business days. The buyer or buyer’s representative must be present at the time of delivery to sign for the delivery.
- Please review the information below to determine the exact type of Special Delivery you require.
- Outside Delivery: The delivery team removes your item from the truck and leaves it nearby to complete the delivery. You are responsible for bringing the item inside the delivery location. If you want your package to be brought to your delivery location, make sure you request the Inside Building delivery option.
- Inside Delivery: The delivery team removes your item from the truck and brings it inside your building. Because Inside Building delivery requires extra time for the delivery team, an additional charge is required for this option.
- Loading Dock: Your building is equipped with a loading dock. The delivery truck backs up to the loading dock and places your item onto the dock. If your delivery location is not equipped with a loading dock, make sure to request the Liftgate delivery option.
- Liftgate: No loading dock is present at the delivery location. The delivery truck must be equipped with a liftgate to remove your item. Because the truck must be equipped with a lift gate, an additional charge is required for this option.
- Please read the following information to see how the different Special Delivery Options work together.
- Loading Dock/Outside Delivery: Your building is equipped with a loading dock; the delivery truck will back up to the loading dock and place your item onto the dock. You or your building’s warehouse team is responsible for bringing the item inside the delivery location. This is the least expensive combination but should only be requested for delivery locations with a loading dock.
- Loading Dock/Inside Delivery: Your building has a loading dock. The delivery truck backs up to the loading dock and places your item onto the dock. The delivery team then brings your item inside your building. This combination only requires an extra charge for the Inside Delivery option and should be used for delivery locations with a loading Dock only.
- Liftgate/Outside Delivery: No loading dock is at your building. The delivery truck must be equipped with a liftgate to remove your item. The delivery team takes the item off the lift gate and leaves it nearby to complete the delivery. This combination only requires an extra charge for the liftgate option and should be used for delivery locations without a loading dock.
- Liftgate/Inside Delivery: No loading dock is at your building. The delivery truck must be equipped with a liftgate to remove your item. Once taken off the truck, the delivery team brings your item inside your building. This combination is the most expensive because it requires extra charges for the Liftgate and Inside Building delivery options. It should be requested for delivery locations without a loading dock that does require the delivery team to bring the item inside the delivery location.
Shipping to APO/FPO/DPO Addresses
- The USPS is the only method that can be used to send to a military APO & FPO address. We always opt for Priority Mail to send packages to an APO/FPO address instead of regular mail. The Three Day, Two Day, and Next Day shipping option is not offered to US APO/FPO/DPO boxes.
- While Megatop can provide proof of shipment, we will not be responsible for APO/FPO packages once they leave our facility.
- All orders shipping to U.S. Military addresses must comply with U.S. Export Control Laws and Regulations. Under these laws, all shipments to an APO/FPO/DPO are considered international; therefore, export restrictions are applicable.
Please note orders that include products on the United States Munitions List (USML), in accordance with the International Traffic in Arms Regulations (ITAR), Title 22, Code of Federal Regulations Part 120-130, can never ship and are canceled.
International Shipping
- We can ship the products to the address of your freight forwarder in the US or your address via our UPS/FedEx account or via a freight forwarder of our choice. On a case-by-case basis, we can accept your UPS, FedEx, TNT, or DHL account. Sometimes, we can offer a pick-up from the manufacturer's location or our warehouses in Vermont.
- If we ship to the US address of your freight forwarder: your shipping charges will include the inland freight and insurance charge from our warehouse to the freight forwarder’s address. All other international forwarding and documentation charges will be billed to you by your freight forwarder.
- Megatop observes the following U.S. holidays and does not process or ship orders on these days: New Year's Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day, and the Friday after Christmas Day.
LTL Freight
Less than truckload freight shipping (LTL) is used for the transportation of small freight or when freight doesn't require the use of an entire trailer. This shipping method can be used when freight weighs between 150 and 15,000 pounds.
If your shipment is being transported via freight truck, we want you to be aware of your rights and responsibilities as the end recipient or as the "consignee.”
There are a lot of things that can happen between the manufacturer and your delivery location; therefore, we are asking you to do a small amount of work to protect yourself and us.
To ensure that you are receiving what you ordered and in acceptable condition, the National Claims Council Regulations specify that you must inspect, examine, and inventory your shipment as it is unloaded. Freight shipments cannot be just left at the delivery location; therefore, making and keeping your delivery appointment is highly important.
It is the responsibility of the person that signs for received items to inspect and note any and all problems before the delivery person leaves. You have heard the term F.O.B. (Freight On Board) - this term simply means that once the carrier picks up the material from the factory/supplier, the factory/supplier is no longer responsible for the material.
If you have someone signing the freight bill for you, for whatever reason, they are acting as your representative; you should inform them that they should check for missing or damaged items. If the freight is signed for without notating damaged or missing pieces, it is almost impossible to get the freight companies to take responsibility.
Megatop cannot be held responsible for freight damage or missing pieces; we will help you deal with the freight company, but you must call the freight inspector, and file the claim. Ultimately, it is the Freight Company's responsibility to deliver the shipment in good condition, and it is the consignee's responsibility to inspect and sign for the products and note any missing or damaged pieces.
Standard Freight Delivery
- This type of delivery works best with a receiving dock where a 53’ truck can back up flush to a building, and items can be removed by either forklift or pallet jack.
Freight shipments are delivered "curb-side"
- The driver is only responsible for delivery of the shipment to the property - not to a specific location on the property or inside any buildings.
- When your item is ready to be delivered, the freight carrier will contact you to arrange delivery. If for any reason, your shipment cannot be delivered (including but not limited to an undeliverable address, no liftgate requested in advance, a responsible party is not available to sign for the shipment or inability of the carrier to contact or otherwise arrange a delivery appointment with you), you are responsible for any return freight charges or storage fees incurred.
Curbside Delivery with Liftgate
- If your location does not have a receiving dock, liftgate delivery is available. This service has additional fees and is an additional charge separate from our standard delivery fee. The shipment will be delivered to the curb, but you, as the customer, are responsible for bringing the unit inside. The delivery driver is not allowed to do more than bring the item to the curb. We recommend having a pallet jack on standby for large or heavy items.
- Liftgate services are an accessorial charge and are therefore not a common arrangement – only if required. Whether a liftgate service is needed depends mainly on two things, the cargo type and the infrastructure of the pickup and delivery location.
Direct to Site Delivery
- No forklift, no pallet jack, no time to set the items up yourself? Sometimes narrow doors, walkways, tight corners, and stairs can prevent your products from being delivered inside your facility as ordered. If you feel you have any of those obstacles, please raise those issues when asking about this service. Megatop will do its best to accommodate these requests. If you're interested in learning more about this delivery service, please email us prior to placing the order.
Important Steps
- On arrival, inspect the shipment immediately for obvious signs of damage. Any and all shortages and damages must be written on the Bill Of Lading or Freight Bill. Should you determine that any items are damaged or missing, you MUST note the item, the discrepancy, and the condition before you sign it! Then call the freight company to report any problems.
- You should open cartons and containers. If there is the slightest doubt that the merchandise is damaged (concealed or not), it must be noted on the Bill Of Lading or Freight Bill, or the liability to prove that the delivering carrier did the damage becomes your responsibility.
- Do not be intimidated by the driver. They cannot leave until the Bill Of Lading or Freight Bill is signed (regardless of how much in a hurry they are or how late they are). The carrier's driver should help you receive your shipment and answer your questions. While your driver is there, compare the pieces of freight you are receiving to your carrier's freight bill. When you've determined that the condition and quantity of your freight are acceptable, you can then sign the delivery receipt. The driver will provide you with a copy, taking the signed copy with them (as a delivery receipt). If one is not offered, request one, as is your right. The Bill Of Lading or Freight Bill is the only documentation of the condition of a shipment when it arrives at your location, and without this document, we cannot hold others accountable for items damaged or missing.
- Your signature on the delivering carrier's freight Bill Of Lading (BOL) constitutes acceptance of the merchandise as is and in good order. If you do not inspect before signing, you are, for all practical purposes, waiving the right to collect on a damage claim, even if the damage is discovered later (known as concealed damage).
- If there is discovered damage: if the box, crate, or merchandise is visibly damaged, refuse the delivery and contact us immediately to request a Return Authorization number so the merchandise can be shipped back to its origin at no charge. Please also notify us of the situation as quickly as possible so we can follow up on our end to assist with any required procedures.
- If there is concealed damage: although we strongly recommend inspecting the shipment prior to signing the delivery receipt, some still do not do so. If the consignee or their representative sign for the shipment and then at a later time discover that there is some damage not noticed at delivery (called "concealed damage"), then a claim will need to be filed by the consignee against the freight company - as a shipment is technically the property of the consignee once it is loaded onto a freight truck, it is the consignee’s responsibility to pursue a damage claim for replacement or compensation.
- In the event of concealed damage, it is vital that you immediately document and photograph (if possible) the packaging and the damage. You must keep the packaging. Do not move the item, but call the carrier and report the damage. They will begin a concealed damage claim and ask for an inspection. You must also notify us so that we are aware of the situation and can be of assistance if required. The inspector will determine if the damage was possibly caused by the carrier.
- Please note: If the consignee has signed for the shipment indicating there was no damage noted at the time of receipt, the consignee would then have to take up their claim with the freight carrier if concealed damage becomes apparent after receipt. Many people order products in advance of need, and wait until it is to be installed to finally check the condition of the product (sometimes weeks or even months have passed); in these situations, it is the consignee's sole responsibility to contact the freight carrier and pursue a claim.
Remember: in cases of concealed damage, you signed the document saying everything was OK; a report and a claim must be filed with the carrier immediately - the sooner concealed damage is discovered and reported, the better.
Additional points to consider
- Whenever signing for freight, always write "SUBJECT TO INSPECTION.”
- Whenever possible, inspect the freight before you sign.
- Note on the freight bill any obvious damage at the time of delivery (i.e., box corners crushed, tears, rips, slices, marks, etc.); be specific.
- If you suspect internal damage, open immediately.
- Even if no damage is suspected, open the carton(s) within 24 hours and make a thorough inspection.
- After noting the freight damage on the bill of lading, you must call the carrier and notify us of a damaged shipment. We will ask you to fax us a copy of the bill of lading that notes the freight damage.
- Hold all damaged goods and their packaging materials, in the original location, for inspection by the carrier.
- Further measures that may help in the claim process include the following:
- Taking digital photography of the damage. If possible, photographs of the equipment still on the truck will limit your liability.
- Report the damage to the carrier and request they start a claim. Preferably, the call should be made before the driver leaves the site. Then, notify us.
- Request an inspector.
- Keep a copy of the Bill Of Lading or Freight Bill noting the damage and the driver's signature.
We realize this can be a time-consuming process, but much of the hassle can be eliminated with prompt, well-documented action with the carrier.
Please note: Recent changes have been made to the National Motor Freight Classification (NMFC) rules regarding concealed damage notifications. As of 2015, the NMFTA has reduced the time shippers are allowed to report concealed damage to the carrier from 15 days to 5 days. This applies to all LTL shipments. This means that if you fail to report concealed damage within five (5) days, you will not be able to file a freight claim with the carrier.
